The LIVE Conference 2009 Delegate agreement applies to all delegates attending the LIVE 2009 conference, held from November 19-20, 2009 at various locations in downtown Toronto. The terms and conditions as outlined in this agreement are in effect for the full duration of the conference. Delegates are expected to abide by each condition outlined throughout their participation in the conference, in every event, regardless of day or time.
By agreeing to the LIVE 2009 Delegate Agreement, delegates acknowledge that they have read, understood and agree to all of the terms and conditions that are stated or are otherwise implied within this agreement.
The LIVE 2009 conference consists of a series of events that are organized for the delegates by the LIVE conference committee. The LIVE conference committee bares no responsibility for the actions, conduct or well-being of any delegate during their stay at LIVE 2009.
Although some transportation is provided to the various venues, delegates are ultimately responsible for their well-being throughout the travel to and from each respective location.
For the purpose of clarity, the full duration of the conference generally applies to the times on November 19th and 20th during which a delegate is participating in the conference events. These times are generally accepted to begin once a delegate is checked-in (which in almost every circumstance will constitute a morning check-in on Thursday, November 19th, 2009), and end immediately after the Awards Ceremony on Friday, November 20th, 2009.
Terms and Conditions
General Behaviour
- Delegates must conduct themselves with the highest levels of integrity and professionalism at all times.
- Delegates are attendees to the conference, and are responsible for their personal safety and well-being at all times.
- Delegates will be offer the utmost respect and courtesy to their fellow delegates.
- Delegates will follow and respect the instructions of the LIVE conference committee. These individuals will be introduced to the group and will be clearly identified.
- Cheating in the competition will not be tolerated. Any delegate or group that is suspected or caught cheating will be immediately removed from the conference without warning. No refunds will be issued to delegates who are removed under these conditions.
- There will be zero tolerance of offensive or unbecoming conduct. Examples of such conduct includes, but is not limited to, cases of: harassment, sexual harassment, racism or racial slurs, physical aggression, violence, theft, vandalism, intoxication using illegal drugs, lewd behaviour, or any other conduct that is deemed as unbecoming of a responsible adult. Individuals involved in ANY of these activities will be subject to the immediate removal from the conference. No refunds will be provided to delegates who are removed from the conference under these conditions.
Registration
- Delegates must sign-in upon arrival at LIVE. This sign-in is separate from the registration that took place on the website prior to the conference. No delegates will be allowed to participate in LIVE events if they have not signed-in.
- Delegates are responsible for attending all of the LIVE events.
- Delegates who are not signed-in will be asked either to sign-in, or to leave. The LIVE Conference committee reserves the right to remove any delegate from the conference should they refuse to sign in.
Identification
- For security purposes, delegates will be given a name tag. Delegates MUST wear their name tag for the full duration of the conference.
- Delegates are responsible for not losing or damaging their name tag. Should a delegate lose or damage their name tag, it is their responsibility to immediately consult one of the LIVE conference committee members.
- Delegates who fail to wear their name tag will be subject to the immediate removal from the conference and the competition, without warning. No refund will be provided to delegates who are removed from the conference under these conditions.
Hotel
- Delegates are personally liable for their hotel room and its’ contents. Delegates will be personally liable for any damage, vandalism or theft that occurs within their room. The LIVE conference committee bares no responsibility for the damage, vandalism or theft of the hotel rooms.
- Delegates are personally liable for any damage, vandalism or theft to hotel property. Delegates are personally liable for any damage, vandalism or theft that occurs at any venue used for the conference. The LIVE conference committee bares no responsibility for the damage, vandalism or theft of any of the hotel property.
- Delegates will smoke only in the designated smoking areas at the hotel. No smoking will be permitted within the delegate rooms, main floors, or any other non-designed area of the hotel.
LIVE Equipment and Property
- Delegates are personally liable for any theft, damage or vandalism of any property that belongs to, or is in possession of the LIVE 2009 conference committee.
- Delegates are personally liable for any theft, damage or vandalism of any property of any other person or company in attendance at LIVE.
Drinking and Social Activities
- There will be certain events at LIVE during which some delegates will be able to purchase alcoholic beverages. Only delegates that are over the legal drinking age in Ontario (19 years of age), supported by valid photo ID, are authorized to drink.
- In accordance with the Alcohol and Gaming Commission of Ontario, the LIVE conference committee will accept the following forms of age identification:
- Ontario driver’s license with a photo;
- Canadian passport with a photo;
- Canadian citizenship card with a photo;
- Canadian armed forces card with a photo;
- Liquor Control Board of Ontario BYID photo card.
Cards that are expired will not be considered valid. A health card is not considered to be valid and will not be accepted.
- Alcoholic beverages will not be provided by the LIVE Conference committee. All alcoholic beverages must be purchased by the LIVE delegate through the operators of the facilities that are charged with serving the alcohol.
- A LIVE-branded wristband policy will be in effect throughout the conference. Only delegates that are of legal drinking age in Ontario (with valid photo ID) will be provided with a wristband. The wristband will be provided at the time of registration only.
- Delegates will be served alcoholic beverages only in the case where they are wearing a wristband. Delegates must wear their wristband at all times. Delegates with wristbands that appear tampered with, cut, or not in their original condition will not be served alcohol. Delegates are responsible to maintain the original condition of their wristband.
- Delegates who wish to drink will need to bring their valid pieces of ID (listed above) with them to the events serving alcohol. Servers at the events may ask to see the ID that the delegate originally presented. Servers reserve the right to deny the sale of alcoholic beverages to delegates without wristbands, or without valid ID.
- It is not permissible for any delegate with a wristband to purchase alcoholic drinks for a delegate without a wristband, regardless of whether the delegate without a wristband is of legal drinking age. Delegates who are suspected or caught providing alcoholic beverages to delegates without a wristband, will be subject to the immediate removal from the conference. No refunds will be provided for any delegate who is removed under these conditions.
- Delegates are responsible for acting in a professional and conscientious manner at all times. Heavy drinking or unbecoming conduct (as influenced by drinking) is not permissible. Delegates who engage in unbecoming conduct (as described in section 6), will be subject to the immediate removal from the conference and competition. No refunds will be provided to any delegate who is removed from the conference under these conditions. Delegates who are deemed too intoxicated to leave the event without the potential of harming themselves or someone else, will be requested to stay in the presence of a LIVE conference committee officer until the point at which they are sober. Once sober, the delegate will be asked to leave the conference immediately.
- The LIVE conference committee bares no liability for the well-being of delegates who leave the social venues in a state of intoxication. Delegates that chose to leave the venues against the recommendation of either the servers or the LIVE conference committee members are solely and fully responsible for their well-being. The LIVE conference committee and its’ affiliates will not be held responsible for the accidents, injuries, or deaths of delegates which resulted from a state of intoxication or carelessly on their part.
Transportation
- LIVE 2008 is a series of events that are organized by the conference committee. These events take place at various locations in Toronto. Each delegate is responsible for their own safe travel to-and-from locations.
- Some transportation will be provided to delegates as part of their delegate fee. This transportation is recommended but is optional. Transportation will be provided at designated times and locations. Delegates are responsible for ensuring they arrive at each location shortly before the scheduled departure time. The LIVE conference committee is not responsible for any delegates who are left behind in locations if they were not present at the time of departure.
Illness or Unexpected Departure
- Delegates with any food, medicinal or other allergies are responsible for notifying the LIVE conference committee in advance of their attendance at LIVE. Delegates with special dietary or medicinal needs must provide for themselves.
- The LIVE conference committee bares no liability for the ingestion of foods or drinks that lead to an allergic reaction or illness of any kind.
- Delegates who must leave part-way through the conference are allowed to do so at any time. Delegates are responsible for notifying the conference committee of their departure. No refunds will be provided in this case.
Acceptance of Terms and Conditions
By agreeing to the LIVE Conference 2009 Delegate Agreement, each delegate is acknowledging that they have read, understood and agreed to all of the terms and conditions outlined.
In general, each delegate is responsible for acting in a professional and safe manner throughout the duration of the conference. The LIVE conference committee reserves the right to remove any delegate from the conference should they engage in any behaviour that deviates from the terms outlined above. The LIVE conference committee furthermore reserves the right to remove delegates should they engage in any activities that compromises the safety or professionalism of any participant, person or partner to LIVE 2008. Due to the logistical and fiscal complications, no refunds will be provided to delegates.
The terms and conditions as outlined in this agreement are effective as of Monday, September 1, 2009.
